Terms of use

1. The service

MyOnlineInvoice is software for creating, sending and tracking invoices, estimates, customers, expenses and related books. It includes a marketing site, a signed-in app, public invoice pages, a free generator, and an optional Android install of the same web app.

We provide the software. We are not your accountant, tax agent, lawyer, or payment institution. We do not file VAT, GST, sales tax or income tax for you.

2. Who can use it

• You must be old enough to form a contract in your country (usually 18) and able to bind the business you name.
• You must give accurate account details and keep them current.
• One person, one login - unless you invite team seats under a plan that allows them.
• If you invite staff or an accountant, you are responsible for what they do in your workspace.

3. Your books, your tax

You remain solely responsible for the accuracy of invoices, the tax treatment in every country you bill, late fees, consumer-law notices, CIS / withholding, e-invoicing mandates, and any licence your trade requires.

• Templates, VAT/GST/sales-tax defaults, and help articles are general information. They are not advice for your filing.
• Rates, thresholds and invoice statutes change. Confirm them with your accountant and the local authority.
• If you send an invoice that is wrong, that is your document. We host it; we do not sign it.

4. Plans, trials and fees

• Free and trial plans may limit how many invoices you send, which features you get, or both.
• Paid plans are billed in advance for the period shown at checkout (usually monthly) until you cancel.
• Prices may include tax. If we have to add VAT/GST, it will be shown before you pay.
• Cancel at any time from the app; you keep access until the end of the period already paid.
• We do not refund unused days except where the law says we must.
• We may change prices with notice to owners. Continued use after the change is acceptance for the next term.

5. Customer payments

Money for your invoices is paid to you, not to MyOnlineInvoice, except our own subscription fee.

• PayPal and bank transfers are between the customer and the seller. Their PayPal or bank terms apply to the payment itself.
• If that provider holds, delays, or reverses a payment, that dispute is between you, them, and the payer.
• Marking an invoice paid in MyOnlineInvoice is a record. It is not a bank guarantee.
• You must not use MyOnlineInvoice to take payment for illegal goods, fraud, or anything the payment partner forbids.

6. Acceptable use

You must not:

• Send unsolicited invoices or spam, or harvest emails from the product.
• Impersonate another business, or issue invoices for work you did not do as a scam.
• Upload malware, or try to break, scrape, or overload the service.
• Use the AI features to generate unlawful, defamatory, or infringing content, or to spin other people’s articles as your own.
• Resell the software or share logins except as the plan allows.
• Use the public generator to pass off MyOnlineInvoice as a bank or a government portal.

We may suspend or close accounts that break this section, or that payment partners flag, without refund for the unused term.

7. Public invoice links

Each sent invoice can have a secret link. Anyone with the link can see that invoice and, if you enabled it, pay. You must treat the link as confidential, like a PDF attached to an email. If it leaks, void or re-issue.

8. Content and intellectual property

• You own the content you put in (logos, line descriptions, customer names). You grant us a licence to host, display and back it up only to run the service.
• We own MyOnlineInvoice: the software, design, trademarks, and help material. You get a limited, non-exclusive licence to use it while your account is in good standing.
• The blog is original MyOnlineInvoice material unless a byline says otherwise. Do not copy it onto another commercial site without asking.
• If you believe content on the site infringes your copyright, write to us with the URL and proof of ownership. We will look at it.

9. Availability

We aim for the app to be up. We do not promise 100% uptime, and we may take it down for maintenance, legal reasons, or force majeure (including hosting or database outages we do not control). Keep an export if a day of downtime would hurt you.

10. Liability

To the fullest extent the law allows, MyOnlineInvoice and its operator are not liable for lost profit, lost data, missed tax deadlines, unpaid customer invoices, or indirect or consequential loss.

Our total liability for a claim arising from the service is limited to the subscription fees you paid us in the three months before the claim, or £100 if you were on a free plan - except where the law forbids a cap (for example death or personal injury caused by negligence, or fraud).

Some countries do not allow certain exclusions. In those places, the exclusion applies only as far as that law permits. Consumer rights that cannot be waived remain.

11. Privacy

How we handle personal data is in the privacy policy. Together with these terms and the cookie policy, that is the agreement.

12. Suspension and closure

You may close your account from Settings. We may suspend or close it if you breach these terms, if we are required to by law, or if the product is discontinued (with reasonable notice where we can). After closure, export what you still need; we then delete as described in the privacy policy.

13. Governing law

These terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction, except that if you are a consumer in another country you may also use the courts of your home country where that right cannot be waived.

14. Changes

We may update these terms. The date at the top will change. Material changes will be flagged to workspace owners. If you keep using MyOnlineInvoice after that, you accept the new terms.
